1. Who We Are
Quadro House LLC is a business based in Florida, United States. In this Privacy Policy, “Quadro House,” “we,” “us,” and “our” refer to Quadro House LLC.
This Policy explains how we collect, use, disclose, and retain personal information when you visit https://quadrohouse.com, interact with our advertising, contact us, submit images or artwork, purchase products, or otherwise interact with our business.
For privacy questions or requests, contact privacy@quadrohouse.com.
This Policy addresses personal information. Shipping, returns, warranties, product specifications, intellectual property licenses, and payment obligations are addressed in the applicable terms and agreements.
2. Information We Collect
The information we collect depends on how you interact with us.
Contact and delivery information: Your name, email address, telephone number, billing address, shipping address, recipient information, and delivery instructions.
Order and transaction information: Products, sizes, quantities, customization choices, proof approvals, order status, payment status, transaction identifiers, refunds, and information relevant to support, returns, or damage claims.
Customer materials: Photographs, artwork, uploaded files, customization instructions, selections, and related correspondence. Files may contain metadata, including information about the device, author, or location. Please remove unnecessary metadata before submitting files.
Communications: Information provided through forms, email, telephone, SMS, WhatsApp, social media, or other business communication channels.
Technical and usage information: IP address, browser and device information, requested pages, timestamps, referral sources, security logs, cookie identifiers, and interactions with website features.
Analytics and advertising information: Information about visits, products viewed, shopping interactions, purchases, advertising referrals, and configured conversion events, subject to the privacy choices described below.
Purchases do not require a customer account. Please provide another person’s information or images only when authorized, and avoid submitting sensitive information unnecessary for your request or order.
3. Sources of Information
We receive information directly from you, from someone authorized to arrange an order on your behalf, and through your use of our website.
We also receive information from providers involved in payments, communications, analytics, advertising, and delivery, such as payment confirmations, campaign referrals, or shipment updates.
Social media and messaging platforms process information under their own privacy policies when you interact with us through those services.
4. How We Use Information
We use personal information to respond to inquiries, process purchases and payments, review submitted materials, prepare proofs where offered, record approvals, produce customized products, and fulfill orders.
We also use information to communicate about production and delivery; provide support; administer refunds, returns, and damage claims; maintain accounting and business records; prevent fraud; secure and improve our website; resolve disputes; and comply with legal obligations.
Subject to applicable permissions and privacy choices, we use information to understand website activity, measure advertising performance, support relevant advertising, and send promotional communications.
Providing contact information for an inquiry or purchase does not automatically authorize every type of promotional communication.
5. Cookies, Analytics, Advertising, and Privacy Choices
Our website uses cookies and similar technologies for website operation, security, shopping functions, preferences, analytics, and advertising.
Essential technologies
Essential technologies support functions such as sessions, cart contents, checkout, security, and recording privacy choices. These functions remain available independently of optional analytics and advertising consent.
Google Analytics 4
We use Google Analytics 4 to understand website usage and shopping activity. Depending on the configured events, Google receives information such as cookie identifiers, browser and device details, pages visited, referral sources, product interactions, and purchase information such as products, value, currency, and transaction identifiers.
Google processes information according to the applicable service terms, privacy policy, and account settings.
Google Tag Manager
We use Google Tag Manager to manage website measurement and advertising tags. The information collected by a tag depends on the connected service and its configuration. Tag Manager does not replace the consent requirements applicable to those services.
Meta Pixel
We use Meta Pixel to measure advertising performance and understand actions taken after visitors interact with our Facebook or Instagram advertisements. Subject to advertising consent, configured events may provide Meta with identifiers and information about page visits, products viewed, cart activity, checkout, or purchases.
These activities may support attribution, audience creation, retargeting, and personalized advertising. Meta may associate information with information it holds about you, depending on its policies, your platform settings, and applicable choices.
Consent and cookie settings
We use Complianz to provide cookie choices. You may accept optional technologies, reject them, or select preferences by category.
Our configuration blocks Google Analytics measurement until you consent to statistics and blocks Meta advertising tracking until you consent to marketing. Rejecting optional technologies does not prevent information processing necessary to complete a requested purchase or maintain website security.
You can revisit your choices through the “Cookie settings” control available on the website. Withdrawing consent stops future optional processing controlled by that preference; it does not automatically delete information already processed.
Browser privacy signals
Our consent manager is configured to treat recognized Global Privacy Control and Do Not Track signals as a rejection of optional tracking. This does not disable essential website functions or prevent processing necessary to fulfill a request.
These signals and browser settings may not control processing by services you visit separately, information previously collected, or activity occurring outside this website.
Additional choices
You can block or delete certain cookies through your browser and manage advertising preferences through Google or Meta. Browser cookie controls do not necessarily prevent every form of data collection.
Advertising disclosures may qualify as a “sale,” “sharing,” or processing for targeted advertising under certain privacy laws, even without a monetary payment. Where applicable, you may exercise relevant opt-out rights through our cookie controls, recognized browser signals, or by contacting privacy@quadrohouse.com.
Our Cookie Policy provides additional information about the technologies identified on the website.
6. Providers and Other Recipients
Our website uses WordPress and WooCommerce for e-commerce operations and Bluehost for hosting. We use Square for payment processing, GoHighLevel for customer relationship management and business communications, and Complianz for cookie consent management.
Google and Meta receive information as described in Section 5, subject to the relevant settings and privacy choices.
We also disclose information as reasonably necessary to authorized production personnel, printing or fabrication partners, storage and security providers, communication providers, delivery services, carriers, accountants, and professional advisers.
Information disclosed may include contact details, production files, product specifications, transaction records, recipient information, or delivery instructions relevant to the service.
Providers may process information on our behalf or under their own privacy terms, depending on the arrangement.
For payments processed through Square, payment credentials are processed under Square’s applicable terms and privacy policy. We receive information needed to administer transactions, such as payment status, identifiers, billing details, and limited payment-method information where available.
Do not send full card numbers or card security codes through ordinary email, contact forms, or social messages.
We may also disclose information to comply with law or valid legal process; address fraud, disputes, or security incidents; protect rights and safety; or evaluate or complete a business transaction, subject to applicable requirements.
Common ownership or collaboration with ACES Design Studio Corp or Duette Studio does not, by itself, authorize their independent marketing use of Quadro House customer information.
7. Customer Images, Artwork, and Artificial Intelligence
We use submitted images and artwork to evaluate requests, prepare proofs where offered, produce products, fulfill orders, and address support or quality issues.
Authorized personnel and production or technical providers may access materials needed for those tasks.
Submitting an image for an order does not, by itself, authorize public promotional use of an identifiable customer image. Any such use requiring permission is addressed separately.
We use Runway to create artwork for our catalog. Customer-uploaded images and artwork are not submitted to Runway as part of our customer-order workflow.
This Policy does not authorize using customer images to train general-purpose AI models. Any proposed change involving external AI processing of customer materials will be evaluated separately, with applicable notice and permissions obtained before that processing occurs.
Ownership, reproduction rights, and permissions needed to produce a custom order are governed by the applicable product or customization terms.
8. Email, Calls, SMS, and WhatsApp
Our team handles inquiries and commercial follow-up through email, telephone, SMS, and WhatsApp. Commercial follow-up is initially managed manually. Transactional platforms may generate order confirmations or other notices related to a purchase.
Promotional communications are subject to applicable permissions and your communication preferences.
Marketing emails include a means of unsubscribing. You may also contact privacy@quadrohouse.com to request that promotional contact stop.
To stop promotional texts, reply STOP or communicate your request to our team through another reasonable method. Message frequency varies, and message and data rates may apply.
Providing a telephone number for an inquiry or delivery does not constitute unrestricted permission for ongoing promotional calls or texts.
Before introducing automated or prerecorded marketing communications, we obtain any consent required for the proposed activity. Such consent is not a condition of purchase.
We do not disclose SMS opt-in information or consent records for another company’s independent marketing. Providers may process that information to deliver communications, manage preferences, or meet legal obligations on our behalf.
Opting out of marketing does not cancel an order or prevent legally permitted communications about an existing transaction.
9. Retention
We retain personal information for as long as reasonably necessary for the purposes described in this Policy, including fulfillment, support, accounting, tax requirements, disputes, security, and communication preferences.
Different retention periods may apply to inquiries, orders, customer images, production materials, communications, analytics records, and backups. We do not promise indefinite storage of uploaded files or production materials.
We may retain limited opt-out records to avoid contacting you again. Information no longer needed is deleted or otherwise disposed of appropriately, subject to applicable obligations and backup cycles.
10. Security and Processing Locations
We use reasonable safeguards designed to protect personal information and restrict access according to business needs. No method of electronic transmission or storage is completely secure.
Our providers and infrastructure may process information outside Florida or the United States. We implement safeguards required for the relevant processing or international transfer where applicable.
11. Children’s Information
Our website is intended for adults purchasing artwork or arranging orders, rather than children under 13.
Adults may submit images containing children when authorized. We do not knowingly solicit personal information directly from children under 13 through our general shopping or inquiry functions.
If you believe a child has submitted personal information directly without appropriate authorization, contact privacy@quadrohouse.com so we can investigate and take appropriate action.
12. Privacy Requests and Choices
Contact privacy@quadrohouse.com to ask about your information, request correction or deletion, or change communication preferences.
Depending on applicable law and our processing, you may have rights to access, obtain, correct, or delete information, or exercise choices regarding certain disclosures and targeted advertising.
Where applicable, an authorized agent may submit a request on your behalf, subject to verification of authorization and identity.
We may verify identity using information proportionate to the request. Do not send sensitive identification documents by ordinary email unless an appropriate secure process has been arranged.
Some information may be retained for legal obligations, transactions, disputes, security, or other permitted purposes. We respond according to applicable requirements and explain relevant limitations, including any applicable appeal procedure.
We will not unlawfully discriminate against you for exercising applicable privacy rights.
13. Other Services and Policy Changes
External websites, payment services, social platforms, and messaging services have their own privacy practices.
We update this Policy to reflect changes in our practices or applicable requirements. The current version identifies its effective and last-updated dates.
Where required, we provide additional notice or obtain consent before applying material changes. Continued website use does not substitute for consent that must be obtained separately.
